The Privacy Policy changed on 25th May, called the GDPR, a new European Union data protection law, which is how a client’s personal data is used. The updates to the law are to enhance your rights and make sure that we treat your personal information appropriately.
Health & Safety/ Child Protection.
We follow the regulated guidelines of the Health & Safety Act 1974 and any other relevant legislation for the best interests of the school, staff & students which are implemented to protect.
Safeguarding
This policy seeks to ensure that Jaide’s Stage Studios undertakes its responsibilities with regard to protection of children and / or vulnerable adults, and will respond to concerns appropriately. The policy establishes a framework to support paid and unpaid staff in their practices and clarifies the organisation’s expectations.
PARENT CODE OF CONDUCT & DISCIPLINE POLICY
Parents have a great influence on children’s enjoyment and success in dance. All children dance because they first and foremost love the art – it is a fun and healthy exercise. It is important to remember that however good your child becomes at dance with the school, consistent positive encouragement will contribute to:
Your child’s continued enjoyment of dance
A sense of personal achievement
High self-esteem
Improving your child’s confidence, skills and techniques
A parent’s expectations and attitudes have a significant bearing on a child’s
attitude towards:
Other students
Teachers
Staff
Guests/Visitors/Spectators
Parents are expected to always be positive and encouraging towards all of the children, not just their own, and to:
Applaud all students and performers, as well as your own children
Give attention to each of the children involved in the school, not just the most talented.
Respect the decisions made by the teachers and other school staff
Parents are expected to always promote a positive image of the school and its achievements and performances. Loyalty above all else is expected, and no child should be attending another school at the same time due to conflict of interest. Auditions and castings are offered when considered appropriate, but if wishing to do so independently, permission must be sort to avoid unnecessary disagreements.
Parents are expected to treat all those involved in the school with mutual respect
Parents who wish to raise a complaint may do so either verbally to the Principal or in writing. Parents are kindly requested not to raise a query/complaint with the teacher when collecting their child from their class – this is to give due consideration to students waiting for the next class. A mutually convenient time can easily be arranged. Written complaints will receive written replies. A copy of our complaints policy is available on request to the School’s Administration Director.
There are around 200 students in the school, with age groups from 2yrs to adults approximately, with a varying number of children in each group. Obviously this can present some challenges both in terms of enabling the students to perform and in ensuring that classes are both enjoyable and safe. With this in mind, numbers are restricted per class.
Our key goals for classes are that the students learn new techniques, that they
Improve their performance, that they are not put in unnecessary risk of injury, and
most of all that they enjoy themselves. These objectives can only be achieved if all
the students display an acceptable standard of behaviour. Specifically we will
expect the students to:-
Listen quietly when the teachers are speaking
To pay attention and try their best during classes and performances
Respect the teachers, staff and each other
Attend in appropriate ‘clean’ uniform relevant to their class
Attention to personal hygiene & grooming
Commitment to classes and their peers
We do not feel that it is unreasonable to expect this standard of behaviour and look
forward to your support in this matter. To protect the interests of the majority of
students who enjoy dance and want to learn, action will be taken immediately
against students who do not display this behaviour.
In the first instance parents will be informed if their child is behaving unacceptably.
If behaviour does not improve, parents will be asked to accompany their children to classes.
Any student who persistently fails to show respect to the teachers, staff and their fellow students, will be suspended from the school pending a meeting with their teacher and a committee member
If this fails, as a last resort, students will be excluded from the school.
The school sincerely hopes that such action will not be necessary.

Health & Safety Policy
Jaide’s Stage Studios follows the regulated guidelines of the ‘Health & Safety Act 1974’ and any other relevant legislation by:
- Ensuring that classes are of a size appropriate to the levels and techniques being taught. Students in each class should be of compatible age and/or standard.
- Ensuring that facilities provided are adequately maintained.
- Supplying suitable flooring appropriate to the technique taught, with a safe surface, designed and constructed to minimise the risk of injury.
- Supplying adequate heating levels
- Providing suitable, secure and safe areas for changing
- Being prepared to deal with medical emergencies and keep records in an accident book.
- Keeping a record on the premises of the name and address of all students taught.
- Assisting student teachers in teaching and/or looking after students
- Ensuring that all fire regulations are displayed and adhered to.
The following Health & Safety rules are in the best interests of the school, staff and pupils, and are implemented to protect, and should be adhered to by all. Pupils/Parents choosing not to follow these rules will do so at their own risk and therefore any incidents, injuries or accidents resulting in these rules not being followed is not the responsibility of the school, and therefore not covered by our insurance.
NEW STUDENTS
Any injuries or health conditions must be noted to the Principal to ensure no unreasonable demands are put on any dancer.
ALL STUDENTS
Any new injuries or health conditions out of school hours must be reported to the Principal before your next class.
- No Jewellery to be worn whatsoever, including stud earrings/belly bars
- No chewing gum at any time
- No eating or drinking whilst dancing
- Hair must be tied up, neat and tidy, and off the face
- No running on the premises
- No smoking on the premises or near to the premises
- Appropriate dancewear including appropriate footwear must be worn at all times
- No heavy meals to be eaten less than 2 hours before dance. If unavoidable please stick to light foods
- All accidents must be reported and recorded in the accident book
- All rubbish must be disposed of in the waste bins provided
- Report any damages of the premises and/or equipment to the Principal immediately
- All children must be collected by a parent/ guardian or adult authorised to do so and known to us immediately at the end of their class time. No child must leave the premises until their parent/guardian has arrived. No child must be left waiting. If you are going to be late due to unforeseen circumstances, then the Principal must be informed immediately, so that suitable arrangements can be made for the safety of the child. It is the policy of the school to provide efficient, up to date, enjoyable and safe instruction in dance to all pupils who attend any class.
- A member of staff will remain on the premises until all young pupils have left, however they are not responsible for their safety after their class has ended. It is the responsibility of the parent/guardian to make sure suitable arrangements have been made and are waiting at the end of their class. If the class ends at 7.00pm for instance, then parents must be there for this time and no later. However, if the Principal is made aware that a child will not be picked up on time they will ensure their safety until that time.
- No pupil under the age of 16 years will be driven home by a member of staff in his/her car without the permission of a parent/guardian, and only in the event of an emergency.
- Normally, no member of staff will be alone with a young student for any substantial period of time without the consent of a parent or guardian.
- No child will be photographed or videoed without the consent of a parent or guardian and a signature is required at the time of registration.
- We are registered with the Data Protection Act, Reference No: ZB093104 to safeguard and protect your personal information. Please read our GDPR information given to you at the time of registration which must be signed and returned to us.
- No form of discrimination, by religion, colour, background and so on will be tolerated in the school.
- The premises will cleaned regularly to prevent any hazard to health from accumulated dirt, rubbish or virus contamination.
- All instruction will be geared to the previous experience and abilities of the student, and no student will be required to perform movement beyond their intrinsic capabilities. Staff will be sensitive to all student’s religious beliefs and culture.
- At all times, all staff will endeavour to keep to the highest standards of instruction and professional behaviour. The School retains the right to discharge any pupil who persistently disrupts the tuition, uses offensive language or other anti-social behaviour.

JAIDE’S STAGE STUDIOS – GDPR - Data Protection
Dear Parent,
You have probably heard that the law relating to personal data – The Privacy Policy was published on 23 April 2018 and changes on Friday 25th May called the GDPR, a new European Union data protection law. In other words how a client’s personal data is used and the process of information you have provided. This applies to every Company, Organisation, Business, Doctors Surgery, Hospitals, Catalogue Company, Credit Cards, in fact anyone holding personal data about you
But what does this mean for you?
As a dancing school we will be making several changes to the way we collect and store your data (mainly addresses and your child's personal information). With this in mind I am asking you all to please try your best to co-operate with returning this form asap.
It really isn't as scary as it sounds but it will create a lot of additional work for us at Jaide’s Stage Studios ., and your prompt response will enable us to get it all sorted a lot quicker.
We will be continuing the procedure of re- renewing registration/insurance forms every 12 months
The updates to the law are to enhance your rights and make sure that we, Jaide’s Stage Studios, treat your personal information appropriately. We value your privacy and want you to understand the choices and control you have over your information
In the course of providing our Services, we only collect or receive your personal information that we require for us to provide you with our Services. Jaide’s Stage Studios respects the information we hold on you and that we take the security of your information very seriously.
On occasion we may need to contact you through messages which are delivered by email or a private message/text, and we are required to keep a valid email address on file to send and receive messages. We may also contact you by telephone to for example to cancel a last minute class due to circumstances beyond our control. With your consent, we may send you messages or physical mail in order to provide you with any updated changes to our services ie timetable, or to provide you with information that you may find of interest ie events, auditions, castings etc.
If someone in our contact list is not already registered with us, you may invite them to join Jaide’s Stage Studios. An email will be sent to them on your behalf providing that they have given you consent with your name mentioned as giving permission. Recipients of email invitations may opt out of receiving emails by informing us immediately and all personal information will be deleted. Without express consent from that person, you must not add any member to your email or physical mailing list or otherwise use or store any member’s personal information.
We offer several social media sites that allow members to connect and communicate in public or semi-public spaces. You don't have to use these features, but if you do, please use common sense and good judgment when posting in these community spaces or sharing your personal information with others. Be aware that any personal information that you choose to submit there can be read, collected, or used by others, or could be used to send unsolicited messages to you. You are responsible for the personal information that you choose to post in community spaces and/or through social media. Another member may follow your public activity on the site to receive updates, such as when you add an item to your public favourites. You may choose to make certain activities private through your account settings. After a member has begun following your activity, you have the option to block that member if you do not wish to share your updates with that specific person.
We collect, use, share, and otherwise process your personal information, which is necessary for us to provide a professional service relating to dance to perform the contractual obligations as stated in our ‘Welcome Booklet’ to provide the Services to you and to which you have consented to and can revoke at any time in writing to us. We will never disclose your name, email address or other personal information to third parties without your consent.
Note that we essentially rely on consent to send marketing messages, for third-party data sharing related to advertising, and, for the use of location data and photographs for advertising purposes.
We will only use your information to provide and improve our service for billing and payments, for identification and authentication, for targeted online and offline marketing through tools like Facebook & Google
All personal data is securely stored, and is automatically deleted and destroyed when notice of leaving is given in writing
We may also retain, preserve, or release your personal information to a third party in the following limited circumstances: in response to lawful requests by public authorities, including to meet legitimate national security or law enforcement requirements; to protect, establish, or exercise our legal rights or defend against legal claims, including to collect a debt; to comply with a court order, legal process, or other legal requirement; or when we believe in good faith that such disclosure is reasonably necessary to comply with the law, prevent imminent physical harm or financial loss, or investigate, prevent, or take action regarding illegal activities, suspected fraud, and threats to our property.
If Jaide’s Stage Studios ., receives a lawful, verified request for a member’s records or information in one of the limited circumstances described in the previous paragraph, Jaide’s Stage Studios may disclose personal information, which may include, but may not be limited to, a member’s name, address, phone number, email address, and company name.
Jaide’s Stage Studios ., may at any time, choose to close, buy or sell assets. Such transactions may be necessary and in our legitimate interests, particularly our interest in making decisions that enable our business to develop over the long term. In these types of transactions (such as a sale, merger, liquidation, receivership, or transfer of all or substantially all of Jaide’s Stage Studios assets), member information is typically one of the business assets that is transferred. If Jaide’s Stage Studios intends to transfer information about you, we will notify you in writing by email, letter, or by putting a prominent notice on the Site and you will be afforded an opportunity to opt out before information about you becomes subject to a different privacy policy or transferred to another party.
Jaide’s Stage Studios is a not for profit organisation and provides a ‘voluntary service’ of which you have the option to choose whether or not you want to use the Services. However, if you wish to continue enjoying the benefits and services, you need to agree to our Terms & Conditions as set out in our ‘Welcome Booklet’, accepting this notification, and by signing below and returning this form to us asap.

This Policy
This policy must be read and understood by all members of staff at JAIDE’S STAGE STUDIOS . We will make sure this policy is accessible to all staff, parents and students where appropriate, and will make sure that all teachers/staff members understand this policy by regular staff meetings and attending training day courses offered by our governing body IDTA (International Dance Teachers Association). All staff, volunteers/chaperones must adhere to this policy and must understand their duties and responsibilities regarding safeguarding. A copy of this policy will be available at all times, either with the Principal during class to view, or may be found on our website www.jaidesstagestudios.co.uk
All staff, volunteers/chaperones have a strict duty never to subject a child to any form of harm or abuse. Failure to adhere to these procedures will be treated as gross misconduct.
Our Responsibility
At JAIDE’S STAGE STUDIOS we recognise we have a responsibility to protect and safeguard the welfare of all children and young people we work with and have an explicit duty to do so under the Children Act 1989 and 2004 and the Education Act 2002. At JAIDE’S STAGE STUDIOS WE BELIEVE THAT THE WELFARE OF THE CHILD IS OF PARAMOUNT IMPORTANCE. That no child should be treated any less favourably than other in accessing services that meet their needs and that all children without exception have the right to protection from abuse regardless of their gender, ethnicity, disability, sexuality or beliefs.
A ‘child’ is anyone who has not yet reached their 18th birthday. The fact that a child has reached 16yrs of age, is living independently, in further education, or working does not change his/her entitlement to services or protection as a child. Our guidelines apply to all children and young people until their 18th birthday.
Safeguarding and promoting the welfare of children and young people means:
Protecting children from maltreatment, preventing impairment of a child’s health or development, ensuring that children are growing up with the provision of safe and effective care and taking action to ensure that children have the best life chances.
At JAIDE’S STAGE STUDIOS ., we will do this by:
- Identifying and responding to concerns about a child or young person
- Providing a safe and happy dance environment
- Having a health and safety policy and risk assessments
- Thinking about equality and diversity and representation and support in school
- Using safer recruitment strategies such as all staff having a DBS check and references before they join our team
At JAIDE’S STAGE STUDIOS ., all concerns and allegations of abuse will be taken seriously. It is the responsibility of all staff and volunteers to take steps to protect children, to keep them safe from hazards and to take appropriate action in the event of an accident. It is the responsibility of all staff & volunteers to take reasonable steps to protect children and young people from harm and abuse while in contact with our school and our staff and to report an incident of or suspicion of abuse to the Designated Safeguarding Person – namely the Principal of the School, Director or Trustee, or in their absence directly to the appropriate statutory authority.
At JAIDE’S STAGE STUDIOS ., our designated safeguarding person is Jaide Ellery-Martin & Sandra Ellery who are suitable and experienced to take on this role, who also holds a fully enhanced DBS & Chaperone Badge.
Managing Injury
If a child has a physical injury and there are concerns about abuse, attention should be sought for the injury first, then procedures for referring to Rugby Social Services, which is provided by Warwickshire County Council, supporting children, adults & carers and can be contacted on 01926 410410.
Managing Recruitment
All individuals working at JAIDE’S STAGE STUDIOS ., who have contact with children and young people are required to hold a valid, clear DBS check. All staff and volunteers will be recruited in line with safer recruitment guidance. No staff will be employed or able to volunteer if they are barred from working with children and in the event of an incident where a member of staff has to be dismissed (or chooses to leave) because they have harmed a child, then DBS will be notified!
Managing Allegation
If any member of staff or volunteer has concerns about the behaviour or conduct of another individual within the organisation the nature of the concern should be reported to Jaide Ellery-Martin the Principal or Sandra Ellery – Owner/Director. The member of staff who has a concern or to whom the allegation or concern is reported should not question the child or investigate further. That person will report the matter to the Local Authority. If an allegation or concern is raised about a member of staff/volunteer outside of work, this may still present a risk of harm to children for whom that member of staff is responsible and as such the general principles of this policy still apply.
Harm to Children
Everyone working with children at JAIDE’S STAGE STUDIOS , must be alerted to the needs of children and the risk of harm. All staff and volunteers should be able to recognise, and know how to act upon evidence that a child’s health or development is being impaired, or that a child is suffering or likely to suffer significant harm. At JAIDE’S STAGE STUDIOS we will make every effort to protect children from harm when they are visiting our setting and/or attending classes.
We will Ensure
- Appropriate recruitment and selection procedures
- Provision of safeguarding training
- Ensuring all staff & volunteers hold clear and current DBS checks
- We will take all reasonable steps to ensure health safety and welfare for all those who access our organisation – see www.jaidesstagestudios.co.uk
- We will take all practicable steps to ensure that no one working with us or for us would put a child in a situation of unreasonable risk to their health and safety
- We will not harm or abuse children without our care and will take all reasonable steps to ensure no one working with us or around us within the community could harm or abuse a child in our care.
- We will ensure good reporting to our designated staff and onward to children’s social care where ever we suspect harm and will foster an environment of good communication, transparency and trust.
- Staff and volunteers have a strict duty to never subject a child or young person to any form of harm or abuse. Failure to adhere to these procedures will be treated as gross misconduct.
- During the admissions process relevant contact and medical information shall be collected and access to emergency information will be available to teaching staff and volunteers at every session.
Where we Suspect Harm and Abuse
Every member of staff has a duty to be alert to the signs of harm and abuse
Where they have concerns, these should be recorded carefully accurately.
All concerns should be discussed with the Principal or designated person
A decision shall then be made regarding sharing this concern onward to Rugby Social Services and they should seek their permission to share information. Should a parent decline to consent and our concerns regarding harm/significant harm we are still duty bound to share with the children’s social care team.
In the absence of any designated person or persons, all concerns should be shared directly with the children’s social care team.
All information sharing, must be Data Protection Act and GDPR compliant. Sharing mst be discreet, appropriate, honest and accurate but it is important for all staff and volunteers to be aware GDPR and Data Protection law does not create a barrier to sharing safeguarding information and all concerns must be share with the children’s safeguarding as necessary.
Recognising Harm and Abuse
Physical Abuse: A form of abuse may involve hitting, shaking, throwing, poisoning, burning or scalding, drowning, suffocating or otherwise causing physical harm to a chard. Physical harm may also be caused when a parent or carer fabricates the symptoms of or deliberately causes illness in a child.
Emotional Abuse: The persistent emotional maltreatment of a child such as to cause severe and persistent adverse effects on the child’s emotional development. It may involve conveying to children that they are worthless, unloved, inadequate or valued in so far as they meet the needs of another person only, deliberately silencing them or ‘making fun’ of what they say or how they communicate. It may feature age or developmentally inappropriate expectations being imposed on children. These may include interactions that are beyond the child’s developmental capability, as well as the over protection and limitation of exploration and learning, or preventing the child from participating in normal social interaction. It may involve seeing or hearing the ill treatment of another. It may involve serious bullying (or cyber bullying), causing children to frequently feel frightened or in danger, or the exploitation or corruption of children. Some level of emotional abuse is involved in all types of maltreatment of a child, although it may occur alone.
Sexual Abuse: Involves forcing or enticing a child or young person to take part in sexual activities, not necessarily involving a high level of violence, whether or not the child is aware of what is happening. The activities may involve physical contact including assault by penetration (for example rape or oral sex) or non-penetrative acts such as masturbation, kissing, rubbing, touching outside of clothing. They may also include non-contact activities, such as involving children in looking at, or in the production of sexual images, watching sexual activities, encouraging children to behave in sexually inappropriate ways, or grooming a child in preparation for abuse (including via the internet). Sexual abuse is not solely perpetrated by adult males. Women can also commit acts of sexual abuse as can other children.
Neglect: The persistent failure to meet a child’s physical and/or psychological needs, likely to result in the serious impairment of the child’s health or development. Neglect may occur during pregnancy as a result of maternal substance abuse. Once a child is born, neglect may involve a parent or carer failing to provide adequate food, clothing, and shelter (excluding exclusion from home and abandonment), protect a child from physical and emotional harm or danger; ensure adequate supervision (including the use of inadequate care givers), ensure access to appropriate medical care or treatment. It may also include an unresponsiveness to a child’s basic emotional needs.
If a Child Tells Us They Have Experienced Harm and Abuse
- Always listen to what the child has to say with an open mind
- Do not ask leading or probing questions
- Never stop a child who is talking freely about significant events
- Make a note of the discussion, taking care to record the timings, setting and people present, as well as what was said
- Do not ask children to make a written statement
- Never promise a child that what they have told you may be kept secret
- Explain that you have responsibility to share information
Where We Believe Another Teacher Or Responsible Adult Has Harmed A Child
If any member of staff or volunteer has concerns about the behaviour or conduct of another individual within our organisation, the nature of the concern should be reported to the School Principal/designated person who will report the matter to the Local Authority/Social Services.
